UNSW Canberra at ADFA Staff and HDR Students Migration FAQs

Will I continue to use the same email address?

Yes, your primary email address will remain the same.

Staff - @adfa.edu.au for example: John.citizen@adfa.edu.au or j.citizen@adfa.edu.au.    

HDR Students - @student.adfa.edu.au

 

When is it happening?

UNSW IT will commence the migration of the UNSW Canberra at ADFA Staff and HDR Student email system on Saturday 13/08/16 and complete it on Sunday 14/08/16.  

What email address should I use to reach my students?

If you would like to use email to reach students you can use zID@unsw.edu.au this can be used for all Undergraduate and Postgraduate Coursework students and HDR students. 

What do I need to do?

To access UNSW services including signing into your mailbox remotely via Outlook Web Application (OWA) https://login.microsoftonline.comyou will need to enter the following credentials:

Username: zID@ad.unsw.edu.au     Password: zPass

If you access your email through another device such as a personal laptop or a mobile phone, you will lose access whilst the migration is occurring and you will need to reconfigure your settings once migration is complete.   To help you we have created easy to follow instructions on how to change your settings.  You can find these on the side bar of this webpage.

Will my mailbox size change?

Staff and HDR Students currently have mail quota of 250MB. Post migration, your mailbox quota will be increased to 50GB with an unlimited online archive.

What happens to my existing email signature? 

There is no change to your email signature, this should automatically append to your emails if you have created this setting previously.

Will there be changes to the Global Address List (GAL)?

Student profiles will no longer be visible in the Global Address List (GAL).  As a result, if you want to continue to email students, you need to enter the student information manually or use other tools such as Moodle.

What happens to my existing mailbox forwarding rules?

Forwarding rules in your existing mailbox will not transition to the new mailbox.   We recommend you create these rules after you have been migrated in Outlook Web Application (OWA). To set up your mail forwarding rules, please refer to the Setting up Mail Forwarding on OWA guide.

What happens to my existing mailbox rules?

Your existing mailbox rules may not transition to the new mailbox. You will need to set these rules up again in the new mailbox.   Username: zID@ad.unsw.edu.au      Password: zPass

What do I do if I see International Calendars appear in my mailbox?

In some cases, International calendars may appear in your mailbox, which you can opt to turn off.  In order to remove these calendars, you will need to navigate to your calendar in Outlook.Select the calendar you would like to delete, right click and select ‘Delete Calendar’.

 Will I be able to continue to access my Shared Mailboxes and Resources?

Shared generic accounts will be disabled, when accessing these mailboxes you will be required to authenticate your identity by entering your new login credentials.

How do I search for Distribution Lists, Shared Mailboxes, Meeting Rooms and resources?

Searching for Distribution Lists

When searching Distribution Lists in the Global address list (GAL) these will prepend with ‘#CAN’ <original DL name>.
For example: If the original Distribution list was named ‘hass.general’ this becomes ‘#CAN hass.general’ or ‘copyright’ becomes ‘#CAN copyright’

Searching for Shared Mailboxes/Meeting Rooms/Resources

When searching Shared mailboxes or resources including meeting rooms and equipment in the Global address list (GAL) these will prepend with ‘#CAN’<Business Unit> <original resource name>.

For example: ‘RecOffice’ becomes ‘CAN Admin RecOffice’ or ‘Nissan patrol 4WD’ becomes ‘CAN PEMS Nissan Patrol 4wd’.

Please note: The original email address will remain the same so you are able to type the name directly and it will automatically resolve itself to the new format.

How do I set up new Shared mailboxes or Distribution Groups?

Please contact the helpdesk@adfa.edu.au or call them on Ph.  6268 8140 and they’ll be able to assist you with creating new shared mailboxes and distribution groups.  

How do I add a new Shared mailbox?

Prior to the setup, please ensure that you have been provided with full access to the Shared Mailbox. To apply for access please contact the helpdesk@adfa.edu.au.

How do I access Outlook Web Application (OWA)?

To access the new OWA click on the following link https://login.microsoftonline.com , and enter the following new credentials for staff and HDR students.

Username: zID@ad.unsw.edu.au  Password: zPass

 

Has Outlook Web Application (OWA) changed?
The look and feel of OWA will be different to the current version.  To understand some of the key differences, please refer to the New Features for Outlook Web App Quick Reference Guide on this website. 

What do I do if encounter issues when accessing my existing UNSW or corporate applications?

A small number of staff may encounter issues when accessing UNSW services or corporate applications such as Echo, Turnitin or Cloudstor.  Please contact the helpdesk@adfa.edu.au or call them on Ph. 6268 8140 and they’ll be able to assist you.

Will I have someone from the Help Desk to assist me?

On Monday 15/08/16, post migration we will have dedicated IT staff members available to help you.  Just look out for the UNSW IT staff wearing the ‘Cloud Team’ caps!
